Nine emails that actually get the documents in

Chasing clients is the least enjoyable part of the season and the easiest to do badly. These are nine reminders covering the whole arc — first ask, gentle nudge, deadline warning, final notice, extension — written in a voice clients respond to. Copy, paste, fill the [brackets].

What makes a reminder work

Three things, consistently. Name only what's still outstanding — repeating a list that includes documents the client already sent is the fastest way to be ignored. Give a specific date rather than "as soon as possible", because a request without a deadline is a request without urgency. And make sending it one step: a reply with attachments, or a single upload link. Every extra step — log in, find the portal, reset the password — costs you a percentage of replies.

The fourth thing is knowing when to stop. Chasing someone for a document they've already sent is worse than not chasing at all.

01 · THE FIRST ASK

Set the list and the date

Subject: Your [tax year] return — here's what I need
Hi [First name],

Happy to get started on your [tax year] return. To keep things
moving, here's the short list of documents I need from you:

[ ] [Document 1]
[ ] [Document 2]
[ ] [Document 3]

Easiest way to send them: just reply to this email with the files
attached, or use your secure upload link: [link]

Aiming to have everything by [date] so we stay ahead of the
deadline. Thanks, [First name]!

02 · THE GENTLE NUDGE

Three to five days later, no pressure

Subject: Quick nudge on your [tax year] documents
Hi [First name],

Just floating this back to the top of your inbox. I still need:

[ ] [Missing document 1]
[ ] [Missing document 2]

No rush today, but the sooner these are in, the sooner I can get
your return moving. Reply with the files or use: [link]

Thanks!

03 · THE SINGLE-DOCUMENT CHASE

When one item is all that stands in the way

Subject: One more item: [document name]
Hi [First name],

We're almost there — I just need your [document name] and then
your return is ready for review.

Upload it here: [link]

Appreciate it,
[Your name]
04 · THE DEADLINE WARNING

Name the date and offer the alternative

Subject: [X] days to the deadline — still need a few things
Hi [First name],

The [deadline date] filing deadline is [X] days out and I'm still
waiting on:

[ ] [Missing document 1]
[ ] [Missing document 2]

To file on time I'll need these by [date]. If they aren't
available, let's talk about an extension so you're covered.

Send them here: [link]

05 · THE FINAL NOTICE

Last call, with a stated consequence

Subject: Action needed to file your [tax year] return on time
Hi [First name],

This is my last reminder before the [deadline date] deadline.
Without [missing documents] I won't be able to file on time.

Please send them today: [link]

If I don't hear back by [date], I'll prepare an extension to keep
you protected from late-filing penalties.

[Your name]
06 · THE EXTENSION NOTICE

Protect the client, keep the list alive

Subject: Filed an extension for you — here's what's next
Hi [First name],

Since a few documents are still outstanding, I've filed an
extension so you're protected. Note: an extension to file is not
an extension to pay, so [payment note].

When you have these, we'll finish up:
[ ] [Missing document 1]
[ ] [Missing document 2]

[Your name]
07 · THE THANK-YOU

Close the loop so the chasing visibly stops

Subject: Got it — thank you!
Hi [First name],

Received your [document name] — thank you! That's everything I
need for now. I'll be in touch if anything else comes up.

[Your name]
08 · THE OFF-SEASON RE-ENGAGE

Use the quiet months

Subject: A calmer time to get ahead for next year
Hi [First name],

Now that the rush is over, it's the perfect window to tidy up
[bookkeeping / quarterly estimates / next year's setup] without
the deadline pressure.

Want me to send a short checklist to get ahead? Just reply
"yes" and I'll set it up.

[Your name]
09 · THE REFERRAL ASK

Ask while the goodwill is fresh

Subject: Thank you — and a small favor
Hi [First name],

It was a pleasure handling your [tax year] return. If you know
anyone who'd like the same stress-free experience, I'd be
grateful for the introduction — I have room for a few new
clients this year.

Thank you,
[Your name]
